The bank’s latest shareholder email brings together the arrangements for its December AGM. Attendance is one option; lodging a vote beforehand is another.
For holders who cannot make the trip to Penrith, there will also be a webcast. In this article, Colitco explains when each deadline falls, what information shareholders need and where to find the full meeting papers.

The Meeting Is In Penrith, With Registration From 9:00am
Westpac has chosen the Western Sydney Convention Centre, at 81 Mulgoa Road, Penrith, NSW 2750, for this year’s meeting.
The Westpac AGM 2026 date is Wednesday, 16 December. Registration opens at 9:00am Sydney time, ahead of the 10:00am start.
The bank released its shareholder email to the ASX on 4 November. It is a short document covering attendance, voting and questions.
That is the document shareholders need to read before deciding how to vote. The email tells them how to get their instructions through.
Questions Close A Week Before The AGM
A shareholder wanting to raise a matter in advance has until 5:00pm Sydney time on Wednesday, 9 December.
Questions can go through the online voting portal or be sent by mail. Westpac says it will seek to address the matters raised most often, rather than read out each submission.
So there is no promise that a particular question will be answered individually.
It helps to be precise. A shareholder concerned about a project’s cost could identify the project and ask what remains to be spent. Someone looking at the bank’s results might ask management to explain a particular change. The aim is to make clear what information is missing.
Keep These December Dates Handy
The timetable leaves five days between the question deadline and the close of advance voting.
| Date | What Happens | Sydney Time |
| Wednesday, 9 December | Advance questions must be received | 5:00pm deadline |
| Monday, 14 December | Direct votes and proxy appointments must be received | 10:00am deadline |
| Wednesday, 16 December | Registration opens at the venue | 9:00am |
| Wednesday, 16 December | AGM begins | 10:00am |
For postal submissions, receipt is what counts. Putting a form in the post on the deadline date will not get it there in time.
Shareholders outside Sydney also need to check the local equivalent of these times. The bank has used Sydney time throughout its instructions.
Have The Holding Details Ready Before Logging In
The online process starts with an SRN or HIN. Shareholders will also need the postcode attached to an Australian registered address, or the country code for an overseas address.
Use the information recorded against the particular shareholding. A recent holding statement is a useful reference if those details are not immediately to hand.
For Westpac shareholder voting 2026, the deadline for an advance direct vote is 10:00am Sydney time on 14 December. Shareholders do not need to wait until that morning to complete it.
What Changes When A Shareholder Appoints A Proxy?
A shareholder lodging a direct vote records their choices beforehand. Proxy voting allows another individual to vote for them.
The appointment criteria are not fully explained in the email. Holders should read the Notice of Meeting with the form.
The Westpac AGM proxy voting deadline is the same as the direct-voting deadline: 10:00am Sydney time on Monday, 14 December.
There is no extra time simply because someone else will be voting on the holder’s behalf.
Where To Go If The Portal Details Do Not Match
MUFG is the contact listed for questions about managing a Westpac shareholding.
Shareholders using the postal route should also check the Notice for the correct lodgement instructions.
Westpac’s email includes a security reminder: the bank will not email asking for sensitive financial information or link directly to an Online Banking or Westpac Online Investing sign-in page. The shareholder voting process should not require a banking password.
Read The Papers Before Opening The Voting Form
The useful preparation starts with the Notice of Meeting. It sets out the business to be considered and explains voting by post, before the AGM and on the day.
Shareholders can then decide whether they want to attend, lodge their choices directly or appoint someone to vote for them.
For those still weighing the bank’s direction, Colitco’s review of Westpac’s business-lending strategy provides background to its recent performance.
Questions need to be dealt with first, because their deadline comes before the voting cut-off.
